We aim at providing services of the highest level while at the same time respecting the privacy the personal data of our website’s visitors.

So, we consider of the highest importance to explain to you what data and for which reasons are processed through our website, as well as to describe you the rights and choices you may have regarding the processing of your data.

Information about data we collect

Through our website you are given the ability to contact our company so that you can submit an enquiry.

The enquiry form requires your email address and message. Your name and phone number are optional. We also record a reference number, submission time and the privacy notice version. Please provide only information relevant to your enquiry.

How do we use this information

We use your information to respond to your enquiry and, where requested, take steps before entering into a contract for our services under Article 6(1)(b) GDPR. For other general enquiries, we rely on our legitimate interest in responding to correspondence under Article 6(1)(f) GDPR.

Access is limited to authorised staff and hosting and storage providers processing data on our behalf under appropriate data processing arrangements. We normally respond by email or, if you provide a phone number, by telephone. Enquiries are not publicly accessible.

We do not use enquiry information for marketing or make decisions based solely on automated processing.

How long do we keep your data

We retain your enquiry for one calendar month from its first successful submission, calculated in UTC. Retrying a submission does not restart this period. Automatic deletion runs asynchronously, so physical removal may occur after the retention period because of a technical delay.

Privacy information for candidates

This section concerns applications submitted through our Career Opportunities form once submission is available. The one-month retention period for general enquiries above does not apply to candidate applications.

Controller and information collected

ELITE PRIME IKE is the controller of candidate personal data. You can contact us about your application or your data protection rights at privacy@eliteprime.net.

We will collect the details you provide in the form: your name, email address, city and country, area of interest, experience range, languages, professional profile or portfolio link, motivation statement, and any résumé or CV you upload. We will also record the submission time and the privacy notice or consent text version you confirm, together with the time of that confirmation.

Please provide only information relevant to your application. Do not include identity documents, payment details, health information, political or religious views, or other sensitive personal information in the form or your CV.

Purposes and legal basis

We will use candidate information to assess suitability for employment opportunities and communicate with candidates about their applications. Where processing is necessary to take steps at your request before entering into an employment contract for a specific vacancy, the legal basis is Article 6(1)(b) GDPR.

For a general expression of interest and retention for future opportunities, we will ask for your specific consent under Article 6(1)(a) GDPR. This consent will be separate from acknowledging this privacy notice and from any application for a specific vacancy. It will not be preselected. Refusing or withdrawing consent to retention for future opportunities will not affect consideration of an application for a specific vacancy.

Candidate information will not be used for marketing. We will not make recruitment decisions based solely on automated processing or profiling.

Access and recipients

Access will be limited to authorised people involved in recruitment and service providers processing the information on our behalf for hosting and storage under appropriate data processing arrangements. Candidate applications and CVs will not be made publicly accessible.

Retention

Candidate applications, uploaded CVs, and the associated privacy confirmation records will be retained for no longer than 12 calendar months from submission. The period will not restart when an application is viewed or processed. Information will be deleted sooner where consent is withdrawn and no other lawful basis applies, or where a valid erasure request requires deletion. At the end of the retention period, the application and its associated files will be deleted.

If you are hired, information necessary for employment administration will be subject to separate employee privacy information and retention rules.

Your choices and rights

You may request access to or correction of your personal data, erasure, restriction of processing, and, where applicable, data portability or object to processing. You may withdraw consent at any time by emailing privacy@eliteprime.net, as easily as giving it. Withdrawal will not affect the lawfulness of processing carried out before withdrawal.

You may submit these requests by email without creating an account. We may need proportionate information to verify your identity. We will respond without undue delay and normally within one month, subject to the extensions permitted by GDPR. You may also complain to the Hellenic Data Protection Authority, as described below.

Providing personal data is voluntary. Without the information necessary to assess and contact you, we may be unable to consider your application. Acknowledging this notice does not itself constitute consent to unrelated processing.

What are your rights over your personal data

Right of access: You may request a confirmation as to whether or not personal information is being processed by Elite Prime and to obtain a copy of that information. We may decline to process requests that are vexatious or frivolous or extremely impractical, jeopardize the privacy of others, or for which access is not otherwise required by applicable law.

Right to rectification: You may request rectification if your personal information is inaccurate.

Right to erasure: You may request that your personal information is erased in certain situations e.g. if it is no longer necessary to provide any services to you.

Right to object: You may object to the processing of your personal information in certain situations e.g. for use of your data for ad targeting.

Right to restriction: You may request restrictions of the processing of your personal information in certain situations e.g. if Your personal information is inaccurate or unlawfully processed.

Right to data portability: You may request to receive personal information provided by you in machine readable format.

Changes to privacy policy

We may from time to time make amendments to our Privacy Policy. Since you have in any way consented in us contacting you for marketing purposes, in which case our relationship will be ongoing, we shall inform you on such changes in a visible and clearly distinguishable way.
